Its record provision requires the specified records to be kept for five years from the date of the last entry. CDSCO and the state licensing authority both have roles within the licensing framework.1

The current NABH Accreditation Standards for Blood Centres expect your centre to control documents and records across donor services, collection, testing, component preparation, storage, issue, quality management and traceability. NABH accredits your centre; it does not certify the software. A management system can produce and retrieve evidence, but your centre remains accountable for the records.2

Donor registration and deferral records

Donor registration should create one identifiable donor history that authorised staff can find at the next visit. Demographic details, consent and screening records, donation history and deferral entries need to remain connected so a deferral recorded at a camp is visible when the same donor returns to the centre.

Duplicate registrations are an operational warning. If two profiles hold parts of the same donor’s history, the system may display an incomplete record even though both entries appear individually complete.

Collection, testing and component records

At collection, the donation number or unit identifier should connect the donor encounter to collection details and the records created later in the laboratory. Test entries need the result, status, date and accountable user so staff can see whether a unit is awaiting review, cleared for the next controlled hand-off or blocked from available stock.

When components are prepared, each child component should remain linked to its parent unit. Preparation details, labels, dates, status changes and final disposition belong to the same traceability chain. A component record that cannot lead back to the parent collection is a break in that chain.

Inventory and expiry records

Inventory is more than a count by blood group. Your system should show the component, unit identifier, status, location, relevant dates, reservations and movement history. Staff should be able to distinguish stock awaiting completion of required steps from available, reserved, issued, returned, discarded or expired stock.

Expiry control also needs an action trail. If a near-expiry unit appears on a dashboard but nobody records who reviewed or moved it, the alert has not controlled the hand-off. Administrators need the underlying unit list when investigating wastage, not only a monthly total.

Request, crossmatch and issue records

A recipient request should connect to the relevant recipient record, grouping and compatibility documentation, the selected unit, issue details and any subsequent return or disposition entry. This gives your staff a retrievable path from the issued component back through inventory and processing to the donation.

The system should also record who completed each step and when. It should not make or replace a clinical decision. Its role is to prevent a record from silently bypassing the authorised sequence and to preserve what your staff actually did.

Reports and retrieval records

A report should be generated from controlled source transactions rather than recreated in a separate spreadsheet. When a monthly total changes, your administrator should be able to open the units or activities behind that number and identify the corrected entry.

Retrieval is the test that matters during an assessment. Searching by donor, unit identifier, component, recipient or issue reference should return a coherent chain without staff having to reconcile several registers after the assessor arrives.

Preparing for Regulatory Changes

Healthcare guidelines are evolving, with NABH, NBTC, and the Drugs & Cosmetics Act setting higher standards for accuracy and safety across accreditation, policy and the legal framework. More precisely, the Drugs and Cosmetics Act 1940 and the Drugs and Cosmetics Rules, 1945 govern blood centre licensing, NABH accredits blood centres against its standards, and NBTC contributes national policy and guidance.3
